AI pilot: scope, preparation and next steps

Discuss an AI pilot for one business problem. Prepare an example, name an owner and agree scope, price and success checks before work begins.

What to prepare for an AI pilot discussion

Bring one anonymised example of work that repeatedly takes time: the initial enquiry, what the team does next and where it gets stuck. Remove customer names, passwords and sensitive records. A real process example is more useful than a list of AI features.

What happens after the discussion?

Procora first reviews whether the task can be scoped sensibly. Any proposal should identify the deliverable, accountable people, test cases, exclusions, price and timing. Submitting an enquiry does not book a consultation, activate software or start a paid engagement.

Tell us about the work.

We will save your enquiry and review the scope with you. Any price and prerequisites are agreed before a pilot starts.

Do not include customer records, passwords or confidential documents.

What is a bounded AI pilot?

A pilot examines one practical task within an agreed scope, such as collecting more complete enquiries or reviewing quotation drafts. It does not promise to automate the entire business. Establish the objective, owner, information sources, price and evaluation period before work starts.

Useful preparation for the conversation

Describe the task, who performs it, its frequency and what goes wrong today. Share your public website and describe the systems you use. Customer records, health information and passwords are not needed to start the discussion. If you are unsure where to begin, AI advice can help prioritise the work.

From an initial assessment to a decision

We clarify the need and assess whether it fits an existing service, a pilot or further preparation. The quotation pilot produces drafts for human review; planned services do not automatically offer live activation or checkout. An enquiry is not a purchase. Following an agreed pilot, review the outcome and decide whether to continue, change or stop the work.

What should the pilot measure?

Choose a few verifiable measures: handling time, enquiries containing required details or time spent correcting drafts. Establish a baseline and compare similar tasks. Include errors, maintenance and staff review in the assessment. Keep potential time savings separate from demonstrated savings and from revenue.
