Before you decide

Is this the right first task?

Best for

Businesses that already send approved quotations and want a consistent follow-up process.

Good quotations go quiet.

What you receive

A follow-up draft tied to the quote version and a recorded owner decision.

Your team’s responsibility

The owner reviews every draft. Approval is tied to the quote version.

  • An approved quote, source reference, current version and responsible person.
  • A pilot agreement; a verified connector and communication policy before any sending.

An illustrative example

A customer has not replied to a quotation. The owner selects the current quote version. Procora prepares a draft. The owner reviews its wording and the next step. This is a fictional example; no customer message is sent.

The work, in practice

You have sent a considered quotation. Then the conversation goes quiet. The customer may have a question, be waiting for approval or no longer need the work. A clear process helps your team find out without guessing, repeating messages or leaving every open offer in someone's memory. Procora organises the quotation reference, prepares a useful follow-up draft and brings the next decision back to the responsible person.

The public service is a draft pilot with a separate agreement. It does not send customer messages, change prices or negotiate terms. The examples are fictional local demonstrations. They show the complete decision path, including simulated contact, so you can discuss what would be needed for a separately approved controlled sending stage.

01 · Sales & Quotations

Follow up on the decision, not just the silence

Silence does not tell you whether a customer is interested. A facilities manager may need an access answer before approving maintenance; a cleaning customer may be comparing two different scopes; a consultancy may be waiting for its internal budget decision. The useful job is to identify the next question and its owner. Start from an issued quotation and keep the source, version, status and previous contact together. Prepare wording that makes a reply easy, then review it. If the customer has already spoken to your salesperson, a new draft may be unnecessary. Useful progress includes clarification, a recorded decline or acceptance.

02 · Sales & Quotations

A complete path with a check before each decision

The explanatory journey is source quotation → current-status check → draft → owner review → simulated contact → reply → owner decision → recorded outcome. In the present pilot, the practical work is checking records and preparing drafts; the website simulates the later contact stages. A changed source, new recipient or reply can interrupt the path. You do not have to push a record through every step to call the process successful. An expired offer should leave routine follow-up, and a superseded one should point to its current replacement. When a customer accepts, the owner confirms the source and hands the agreed work to delivery. That hand-off needs responsibility rather than another sales reminder.

03 · Sales & Quotations

Use the quotation the customer actually received

The supported intake is an owner-entered record or a mapped CSV snapshot. Capture the canonical reference, current version, recipient, scope summary, amount, currency, issued date, expiry and responsible owner. The source document remains authoritative and keeps its own tax treatment. A connected CRM contact does not prove that these quotation facts are current. Duplicate references and old versions must be reconciled before drafting. When the owner updates the scope, recipient or terms, pending drafts and approvals based on the previous version should not survive. A reliable small list is preferable to an unreviewed export whose offers may already be accepted, declined or replaced.

04 · Sales & Quotations

Two credible local examples, not a currency swap

Fictional Canal Maintenance in Utrecht has issued CM-104 for a maintenance visit at €1,200.00 excluding VAT. Its tax details belong to the original quotation, and Europe/Amsterdam is the agreed timezone. The owner wants to know whether the customer needs clarification or an evening-access discussion. Separately, fictional Odense Kontorrengøring manually records OK-104 from its Danish source: 10.000,00 kr. excluding moms + 2.500,00 kr. moms = 12.500,00 kr. including moms. Europe/Copenhagen and Danish date presentation apply. e-conomic is relevant accounting context, but its existing contact-export code is not quotation synchronisation. The amounts illustrate the customer's offer, not Procora's price. Switching website language changes explanations, not these records or a subscription.

05 · Sales & Quotations

Prepare purposeful follow-up with clear limits

A first draft can ask whether the customer has reviewed the offer and has a question. Another should address a genuine clarification need rather than repeat the same pressure. A final draft can offer a respectful close if the work is no longer relevant. Example review points two, five and ten business days after issue are configurable discussion points, not guaranteed best practice. Agree timezone, quiet hours, closures, maximum attempts and coordination with existing follow-up. If a reply, revised quote, stop request or expiry changes the context, the routine stops for review. The public pilot prepares drafts; it does not launch email, text or phone sequences. Only a separately scoped, verified sending stage could move beyond owner review.

06 · Sales & Quotations

Keep negotiation and changed commitments with the owner

A reply is a change in the work, not just another number in a report. Questions about existing scope can be checked against the offer; new quantities, price changes, delivery promises or payment terms require someone with commercial authority. Prepare an acknowledgement and give that person the full context. An out-of-office message needs timing review, a decline ends ordinary contact about the offer, and a stop request takes priority over a planned step. Apparent acceptance must be confirmed against the correct current version. The controlled reply infrastructure treats classification as an organisational aid, not a contract decision. These distinctions keep the owner involved at the moment their judgement is most valuable.

07 · Sales & Quotations

Review something specific, not a permanent green tick

The owner reviews the exact recipient, subject, body, source version and proposed next step. Editing wording or changing the quotation means another review. In the local example, an approved version 1 draft becomes invalid when the customer asks to change scope and the owner records version 2. The old approval cannot authorise new terms. Reject, pause and takeover are useful choices when the draft is inaccurate, the source is uncertain or a person is already handling the customer. For separately controlled sending, approval authority, source freshness, contact evidence, sender and reply route must still be valid at dispatch. Present-day pilot review does not activate that stage merely because a button is labelled approve.

08 · Sales & Quotations

See both the offer's outcome and the team's task

Keep commercial status separate from follow-up status. A quotation can be open while the team awaits an owner decision, or valid while its workflow is paused. A revision request is work on the open offer until the owner changes the source or records a replacement. Accepted, declined, expired, withdrawn and superseded records leave routine chasing for different reasons. Record the evidence and owner decision so another colleague can understand the history. Silence does not prove rejection, and an expired offer does not prove a competitor won. A pipeline with honest unresolved work is more useful than one that forces every record into a win or loss. Review current versions once rather than counting an old and revised document twice.

Measure useful work and confirmed outcomes

Report distinct current quotations, usable source records, drafts prepared, drafts reviewed, unresolved replies, revision tasks and owner-recorded outcomes. Declare the period and whether the date basis is issue, review or outcome. Drafts are not sends; test captures are not delivery; provider acceptance is not customer acceptance. Keep values in separate currency totals with their source tax basis stated. Accepted quotation value is not recognised revenue, collected cash or proven sales caused by Procora. The practical questions are whether decisions are forgotten, old drafts are cancelled and the owner can explain the next action. The measurement guide provides a fictional cohort and worksheet for checking these definitions.

10 · Sales & Quotations

Prepare the source, people and contact rules

Bring a reliable issued-quotation source, a manageable review list and a person who can check the current document. Agree eligibility, recipient, language, timezone, approved facts and the decision boundaries. Identify where replies already arrive and how colleagues record phone or face-to-face discussions. Avoid duplicate follow-up from an accounting tool, CRM and salesperson. Current Pipedrive, HubSpot and e-conomic enquiry/contact exports do not prove quotation synchronisation; a manual snapshot remains a copy. Before any future sending agreement, verify the source, recipient-specific contact basis, sender, receiving route, limits and provider readiness. Unknown information creates a hold with an owner, not an assumption. Keep credentials and customer documents out of the public enquiry.

11 · Sales & Quotations

A named owner makes the process dependable

Procora can give a reviewed quotation process structure, but the business retains authority over what it offered and what it will deliver. Assign the source check, draft review, customer question, revision and final outcome explicitly. One person may cover several roles; each still needs a substitute and an agreed next check. A notification is not a completed decision. If the owner cannot review work, narrow the pilot rather than building a larger queue. Keep factual clarification distinct from authority to change price. A Sales Coordinator bundle can help describe connected duties after the actual work is defined, but the label does not include negotiation, dedicated staffing or an automatic invoice process.

Discuss one service with a clear review point

Start with the main difficulty, source system, country, approximate workload and the person responsible for sales follow-up. The protected enquiry form records a reference for the team; it does not import a recipient list, grant marketing permission or activate a subscription. The quotation pilot has its own scope and agreement rather than an invented price or automatic inclusion in website-chat plans. Agree test cases, supported source format, review capacity and how support issues are raised. After verified acceptance, the next responsibility is delivery; invoice follow-up and later repeat-business or review work remain separately scoped. Explore the practical guides and detailed pages, then discuss the narrowest useful starting point for your team.

Questions worth answering

Does Procora send quotation follow-ups today?

The public quotation service is a draft pilot and does not send customer messages. Controlled email infrastructure exists, but any delivery needs separate scope, eligibility, source verification, approved receiving/sending setup and explicit authorisation.

Who is this useful for?

Businesses that already issue considered quotations and need clearer responsibility for follow-up. Cleaning, maintenance and consultancy examples fit different workflows; the starting list still needs current records and an owner able to review decisions.

Must we change our quotation system?

No. The supported pilot intake uses owner-entered or CSV snapshots checked against the existing source. A direct quotation connector is a separately verified requirement, not something promised by naming your software.

Does the e-conomic connection keep offers current?

Its verified code creates customer records from enquiries. That does not read quotation versions or outcomes. The Danish example is explicitly manual, and source checks remain the owner's responsibility.

Can the service change prices or agree a discount?

No. Commercial changes remain with an authorised person and the source quotation. A draft may acknowledge a request and prepare an owner decision, but it cannot invent a concession or commit delivery.

What happens after a customer replies?

The routine should stop for a person to assess the question and current quotation. A suggested reply category is not acceptance. Revisions, declines, out-of-office and stop requests need their appropriate owner decision and record.

What if a quotation changes after review?

The previous draft or approval no longer represents the current offer. Check the new source version and exact recipient and content, then prepare a fresh decision. Superseded offers leave ordinary follow-up.

Are accepted amounts proof of new revenue?

No. Accepted quotation value is a commercial outcome with a stated source basis. Delivery, recognised revenue and cash need different evidence, and a sale after follow-up does not prove incremental sales caused by Procora.

Is the quotation pilot included in our chat plan?

It is separately agreed. Existing chat subscriptions and prices stay as they are; the pilot needs explicit scope, limits, source responsibilities and review capacity. A role bundle does not alter those commercial terms.

What should we submit to discuss it?

Your company, country, current quotation system, approximate workload and main difficulty are enough to start. Do not supply customer records, passwords or financial credentials. The stored enquiry is a request for review, not activation.
